Transforming Operations: Implementing Dynamics 365

Following through on a key strategic goal for FY24, Heavy Lift (HL) is in the process of implementing Microsoft Dynamics 365 Project Operations, with a target implementation date of July 2024. This is an integrated business application designed to connect operational workflows and a key development to enhance the services and capability delivered by our teams.  

The goal is to have all HL projects operating on this singular system from tendering, project contracts, planning and mobilisation, time capture and claiming.

Heavy Lift Transition Lead Madelaine Russell and Project SME /Business Analyst Andrew Blake, continue to be dedicated to this project to coordinate all elements required for a successful system implementation. User acceptance testing is well underway, with approximately 65% completion. As we progress, our focus now shifts to training and engaging multiple users in the system. 

“The successful implementation of this solution is not down to 1 or 2 individuals but will require functional teams and project teams to engage in the solution and support the implementation of change”, explains Madelaine. 

The key elements of the system are outlined below:

Some enhancements the system will provide are: 

  • Reduce administrative burden: Streamlines project management and resource allocation processes by eliminating the need for double entry of information and reduces the risk of errors associated with multiple data entry points. 
  • Creates a single source of truth for data: Planning, scheduling, mobilisation and demobilisation processes use disparate and use separate Microsoft Excel spreadsheets​. 
  • Financial visibility: Provides real-time insights into project costs and revenue, enabling proactive financial decision-making.
  • Resource optimisation: Aids in the effective allocation and scheduling of resources, reducing idle time and improving resource utilisation.
  • Data-driven decision making: Offers robust analytics and reporting capabilities that support decision-making, including return on asset, utilisation and availability.
  • Compliance and governance: Built-in features for contract management, claiming, and financial reporting help in maintaining compliance with industry regulations. 

“This is an exciting development for the Heavy Lift business unit to support sustainable growth across the multiple projects we support. Effective and connected systems with functionality to forecast people and assets requirements over the next 18 months are essential to improve transparency and decision making," Lorna explained. 

User acceptance testing (UAT) will continue until early next year and then we will start side by side (SBS) testing of 2 to 3 projects around March.

The impact of the systems change will vary based on your role. Our team of change champions will be involved in determining the required training, and your manager will keep you updated on the future training schedule.
